FAQs About Booking A Student Trip with Junior Tours
How far in advance should I start planning?
Most groups book 8-10 months in advance to lock in the best dates and prices, but we can plan a trip in as little as 3-4 months if you’re flexible. The sooner you get started, the more flexibility you’ll have.
How do I pick my travel dates?
Easy, you just choose the dates that work best for you. You can travel any day of the week, any time of the year, and the price stays the same. We recommend checking your school calendar and surveying your students and parents to select dates that avoid conflicts.
Do I need approval from my principal or administrators?
Not necessarily. Many teachers choose to organize their trips independently of their schools, especially if they are traveling outside the school calendar. In those cases, we keep the school’s name off all paperwork, giving trip leaders full control and maximum flexibility.
What if I have a small group?
Our minimum group size is 20 paying travelers, but we never combine you with strangers. If you’re starting small, consider teaming up with another teacher or class from your school, or even a nearby school. The bigger the group, the lower the price per person.
What will Junior Tours send to help plan the tour?
Once you provide us your travel dates and the destination of your trip, we’ll send you:
- An itemized confirmation of your tour package
- Registration forms to pass out to your students and families
- Posters and other promotional materials
- Free scratch card fundraisers
- Other planning forms and resources
How is the payment schedule set up?
We’re flexible, but most groups collect a $200 per person deposit about one month after booking. After that, many collect $200–$300 per person every other month until the final balance is due eight weeks before departure. One key advantage of planning ahead is that we can spread out the trip cost over a longer period of time.
What if I don’t want to handle any money?
Not to worry – Parents register and make all payments directly through our website, so you don’t have to handle any money. Click here for more details.
Can I cancel the trip after I book in?
Of course. If you’ve only made the initial booking, you can cancel anytime with no penalties and no further obligation. We’ll even help you promote the trip, but you’re completely safe to cancel if interest isn’t there.

FAQs First-Time Trip Leaders Often Ask
What if not enough students sign up?
This is an important question to discuss with your travel partner early on. With the right partner, you should have the option to cancel the trip if there is not enough interest, and any families who have already registered and paid should receive a full refund. Not all travel companies offer this level of flexibility, which is why understanding cancellation policies before moving forward is an important part of choosing the right partner.
How far in advance do I need to start planning?
Many teachers begin exploring options 8–12 months ahead, but the first step is often just gathering information. Starting early helps keep costs lower and timelines more flexible.
How much extra time will this take on top of teaching?
While there is some coordination involved, much of the work is handled by your travel partner. Your role is focused on communication and leadership, not logistics.
What if I’ve never led an overnight trip before?
Many trip leaders are first timers. Planning with the right support structure makes the process manageable, even without prior experience.
Do I have to know all the details before talking to parents?
No, it is completely reasonable to introduce the idea of the trip first (dates and destination) and share the finer details later as they get confirmed. Some travel partners will even join your parent meetings virtually or in-person to introduce themselves and answer questions.
What happens if students drop out after signing up?
Policies vary by company, which is why it’s important to understand cancellation terms early. Your travel partner typically manages adjustments, credits, or refunds. Some travel partners also offer trip protection, which passengers can purchase for a nominal fee when they are registering for the trip.
FAQs Parents Commonly Ask Teachers
